3. Sharing of Information
We do not sell personal information (such as names, emails, phone numbers, addresses, dates of birth, or resident data).
We may share information in these limited cases:
- Service Providers: Vendors who support our Services (e.g., hosting, payment processing, analytics, customer support, SMS and email delivery, AI processing used to generate life-story summaries and insights, and print fulfillment for physical keepsake books). These vendors process information only to provide services to us, under contractual confidentiality and security obligations.
- Business Partners: Where we co-promote or distribute content, with your organization’s knowledge.
- Third-Party Identity Providers (Auth0 and Google Firebase): We use Auth0 (for the App and Admin Portal) and Google Firebase Authentication (for LifeStory) to manage authentication and login. These providers process information (e.g., username, email, encrypted password where applicable, and login activity) for the purpose of securely providing identity and access management. Quiltt does not directly store raw credentials.
- Aggregate/De-identified Data: We may use and share anonymized statistics (e.g., engagement levels, usage trends) that cannot identify individuals.
If we add new categories of partners in the future, we will provide advance notice to customers and update this Policy.
4. User-Generated Content
- Content you upload (photos, posts, events, and life-story recordings, transcripts, and responses) is used only for the intended purpose within the Services.
- We do not sell, license, or repurpose your content for external use.
- We do not use your content to train AI models for third parties.
- We use third-party AI services to generate summaries, conversation starters, and care insights from life-story content. This content is processed under contractual confidentiality obligations, is not used to train AI models, and sensitive Care & Comfort information is excluded from AI processing.
- Ownership of User Content remains with you and/or your organization, subject to necessary license rights to display it in the Services.
5. Health Information and Compliance
Some of the information collected or processed through the Services (such as level of care, activity tracking, or alerts) may be considered health-related information.
Through LifeStory, we may also process voice recordings, transcripts, and Care & Comfort information that can include health- or behavior-related details (and, in some jurisdictions, voice recordings may be considered biometric information). This information is collected only with appropriate consent (see Section 6), is restricted to authorized care staff and designated family, and is excluded by default from AI summaries, public displays, and family-facing views.
- Quiltt is not a healthcare provider and is generally not a “covered entity” under HIPAA.
- When Quiltt provides services to senior living operators or other healthcare-related organizations, we may act as a “business associate” under HIPAA. In those cases, we will enter into a Business Associate Agreement (BAA) and comply with HIPAA requirements.
- Regardless of HIPAA status, Quiltt applies industry-standard safeguards to protect resident and health-related information, including encryption, access controls, and audit logs.
- Quiltt also complies with applicable state privacy laws (including CCPA/CPRA and similar state frameworks).
6. Your Choices and Controls
- Location: You can enable/disable location sharing via device settings. Disabling may limit safety and alerting features.
- Marketing: You can opt out of marketing emails by following unsubscribe instructions.
- Account Data: You may request access, correction, or deletion of your personal information at any time by contacting us (see Section 10).
- LifeStory Consent: Participation in LifeStory is based on consent — either the resident’s agreement after a notice is provided, or, where a resident cannot consent, authorization by a personal representative (e.g., power of attorney or legal guardian). Consent can be withdrawn at any time, and you may request correction or deletion of LifeStory information. Family-portal access is limited to what the community or account owner enables.
7. Security and Breach Notification
We use industry-standard security measures to protect your information.
In the event of a data breach that compromises resident, employee, or user data:
- We will notify affected organizations without undue delay and within any timeframe required by applicable law.
- Notifications will include a description of the breach, categories of information impacted, steps taken, and recommendations for mitigation.
- We will share available details, including information not otherwise publicly disclosed, if it pertains to your organization’s accounts.
8. Third-Party Websites and Services
We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. For more information about how Microsoft collects and uses your data, visit the Microsoft Privacy Statement.
9. Admin Portal and LifeStory Coverage
The Admin Portal and LifeStory are covered by this same Privacy Policy. If a separate policy is created in the future, organizations will be notified.
